Summary


Performs diversified administrative tasks/duties to support the service department.


 


 


Essential Duties and Responsibilities include the following. Other duties may be assigned.


 



  1. Process and approve technician electronic time entries, work orders and purchase orders in a timely manner to minimize outstanding work in process.


 



  1. Gathers, tabulates, and posts information and/or records to ensure service efficiencies.


 



  1. Checks repair orders for accuracy and completeness, verifies information, and enters information.


 



  1. Receives service breakdown calls from customers and gathers the necessary information to dispatch the appropriate technician with the needed parts and skill set.  


 



  1. Answers phone, takes messages, provides information, or redirects calls as appropriate.


 



  1. Operates office equipment such as a calculator, copy and facsimile machines, or personal computer.


 



  1. Maintains appropriate records, files, documentation, etc.


 



  1. Duties and tasks are varied and complex, are performed under general supervision and typically require originality and/or ingenuity. 


 



  1. Incumbents rely on experience and judgment to plan and accomplish assignments, and have the latitude to adapt procedures, processes and techniques.


 



  1. Ability to manage multiple technicians simultaneously, organize their work days as well as keeping on task with the administrative duty requirements of the position.  Manage customer expectations.


 



  1. Works closely with outside vendors and generates purchase order numbers.  Reconciles accounts payable invoices with accounting department.


 



  1. Reconciles monthly P-card transactions and statements.


 



  1. Assists with daily work order maintenance.


 


 


Supervisory Responsibilities


This job has no supervisory responsibilities.

 


Education and/or Experience


High school degree, associate’s degree from two-year college or university; or one to two years’


related experience and/or training; or equivalent combination of education and experience.


 


 


Computer Skills



  • Microsoft Office (Word, Excel, Outlook and PowerPoint)

  • Experience with Windows based programs
