As a Service Coordinator, you play a key role in upholding our commitment to excellence—ensuring timely, efficient, and accurate support for our field service operations. With the training and support we provide, you will help maintain Arnold’s industry-leading service reputation.
Essential Job Functions
Serve as the first point of contact for customers regarding service needs. Assess the urgency of customer issues and schedule field service jobs accordingly. Assign, prioritize, and dispatch field technicians based on job requirements and availability. Act as a liaison between customers and the service department to ensure smooth communication and issue resolution. Create, monitor, review, and assist in closing service job tickets. Determine warranty coverage accurately and communicate warranty status to customers prior to service. If warranty status is unclear, inform the customer that charges may apply until verification is obtained. Coordinate daily work schedules and review work-in-progress (WIP) with the Service Manager, including job priorities, parts delivery status, and deadlines. Ensure labor hours quoted to customers are met or exceeded in collaboration with the Service Manager. When written authorization is not obtained before dispatch, ensure technicians secure the customer’s signature prior to starting work. Process technician timecards and maintain accurate service reports. Coordinate parts needs between the field service and parts departments. Manage and monitor customer service agreements.
Non-Essential Job Functions
Support the Service Manager in ensuring adherence to safety protocols, housekeeping, and company policies. Compare final invoices to service proposals and confirm all customer expectations are met. Assist with administrative duties within the Service Department. Keep the Service Manager informed of all issues requiring managerial attention.
Desired Skills and Abilities
Strong work ethic with a proactive, ambitious attitude. Highly detail-oriented with the ability to problem-solve independently. Proficient in Microsoft Excel and Word. Solid mathematical and analytical skills.
Physical Demands & Working Conditions
Ability to sit for extended periods and work at a computer. Frequent reaching, bending, and walking—often over uneven surfaces. Clear verbal communication in person, by phone, or radio. Capable of lifting paperwork, filing, and light physical tasks as needed.
Education & Experience
High school diploma or equivalent required. Relevant experience may substitute for formal education requirements.
